Role description:
The Junior Executive Officer plays a crucial role in supporting the operations and management of
citizenship and residence applications within our firm. This position involves a blend of administrative,
client-facing and regulatory compliance responsibilities, ensuring that the application processes are
carried out efficiently and in accordance with legal requirements.
Qualifications:
- Strong administrative and organizational skills, with attention to detail;
- Excellent English written and verbal communication skills;
- Ability to manage client interactions and provide exceptional customer service;
- Proficiency in project coordination and the preparation of reports;
- Capacity for conducting research and analyzing data effectively;
- Adaptability in a high-paced, dynamic work environment;
- Proficiency in English; additional language skills are a plus;
- Basic proficiency with office software tools such as Microsoft Office Suite;
- A degree in Business Administration, Management, or a related field is preferred.
Key Responsibilities:
- Assist with basic document automation, filling, printing, copying, scanning, certifying, sorting, labelling, organization in the physical and online client-related folders, and submission;
- Assist with first background checks, including verifying client information against AML watchlists and preparing onboarding and due diligence documents;
- Upon request, contact authorities for simple queries, appointments, submissions, application or document status, and follow-ups while ensuring compliance with programme guidelines;
- Upon request, liaise with third parties for client-related services and invoice settlements;
- Assist with clients' and introducers’ communications under the supervision of a more senior member of the team by joining chats, calls, or in-person meetings, drafting emails, periodical follow-ups, and accompanying clients for biometric/ oath/ public registry/ passport appointments;
- Perform data entry tasks, set up and organize client folders, maintain client records and logs, arrange meetings, transportation, create general checklists, complete applications, conduct initial file reviews, execute ongoing services under AML and programme compliance, and request rent and disbursement invoices under the supervision of a more senior member;
- Follow departmental SOPs precisely, ensuring all tasks are completed as per guidelines and procedures;
- Gain understanding of basic AML obligations (e.g., identifying suspicious activities) and programme requirements through training.
