Join our team as an Events Executive and take a key role in delivering large-scale festivals and live events that attract thousands. You’ll help coordinate and execute front-of-house operations including staffing, box office, ticketing, VIP hosting, accessibility support and guest services.
This role is central to the smooth running of our events. Working closely with our Operations, Ticketing, Production and Customer teams, you will ensure that every event delivers a seamless, safe and high-quality experience from gates open to show end. The position is based in Malta for close coordination with the events team.
Your Responsibilities as an Events Executive Will Include:
Event Strategy & Planning
• Support the development of event entry strategies, customer-flow planning and front-of-house layouts.
• Assist in preparing event schedules, staffing plans and operational guidelines.
• Collaborate across departments to align front-of-house planning with ticketing, production and marketing requirements.
• Prepare documentation, checklists and pre-event readiness reports.
Event Execution & Logistics
• Coordinate all front-of-house operations including box office, ticket scanning, wristbanding and entry points.
• Manage staff allocation, shift rotations, check-ins and onsite briefings.
• Liaise with suppliers and partners handling accreditation, VIP hosting, scanning equipment, tills and customer hardware.
• Supervise setup, live operations and breakdown of FOH areas including signage, queue systems, accessibility zones and VIP areas.
• Resolve onsite issues quickly and professionally, escalating where needed.
VIP, Accessibility & Guest Services
• Manage VIP check-ins, guest list workflows and coordination with hospitality, artist relations and security.
• Oversee accessibility planning, ensuring facilities and support services are fully operational.
• Provide guidance to guests requiring assistance and maintain smooth communication with onsite teams.
Ticketing & Box Office
• Oversee box office operations including ticket queries, payment plan checks, hardware readiness and software setup.
• Ensure scanners, tills, tablets and ticketing systems are functioning throughout the event.
• Support troubleshooting of customer issues during live entry.
Quality, Safety & Performance
• Ensure front-of-house areas meet health & safety and customer-service standards.
• Maintain incident logs and escalate operational risks appropriately.
• Assist in preparing post-event reports covering staffing, customer flow, entry performance and operational improvements.
• Identify process enhancements and contribute to continuous improvement across all event operations.
Job Requirements
• Proven experience in events, hospitality, customer operations or logistics (large-scale events or festivals is a strong advantage).
• Excellent organisational and multitasking skills with the ability to stay calm under pressure.
• Strong interpersonal and communication skills.
• Comfortable managing staff, working long hours during peak season and handling live-event pressure.
• Proficiency in Google Workspace and confidence using event hardware (scanners, tills, tablets).
• Solid problem-solving mindset with a hands-on approach.
• Driving licence is considered an asset.
Nice-to-Haves
• Experience with ticketing systems or access-control platforms.
• Previous work on festivals, multi-venue events or large-scale live experiences.
• Basic understanding of health & safety or crowd-management principles.
• Experience with project management tools.
